Session Chair Instructions

Before the Session

  • Arrive at least 5 minutes early.
  • Ensure all presentations are uploaded to the lectern computer before the session begins. The room helper should have done this for you.

During the Session

  • Start on time.
  • Give a brief introduction to the session.
  • Keep every talk (including invited talks) to 12 minutes, followed by 3 minutes of Q&A.
    • Provide time warnings (e.g., 2 minutes remaining).
    • Intervene politely if a speaker overruns.
    • Keynotes and semi-plenaries follow their own timing.
  • Do not skip time slots if a speaker is absent.
    • Announce the no‑show and record it on the printed session sheet on the session chair table.
    • Maintain the schedule by keeping the empty slot (i.e. wait for 15 minutes before starting the next presentation).
  • Complete the printed session  sheet
    • The session sheet should be on the session chair table along with the bio and abstract for each presentation in the session.
    • Record that the presentation was made and the name of the presenter on the printed session sheet.
    • If there is a no-show it must also be recorded on the session sheet. These are reported to IEEE.
    • The room helper will take the session sheet back to registration at the end of the session.
  • Moderate Q&A:
    • Encourage questions.
    • Prevent extended back‑and‑forth.
    • If you are in the Michaelmas 1 room there is also a wireless question mic and the room helper will run it around the room as delegates ask questions so everyone can hear.
